Understanding Access Rights into LegalXGen

Many time we come across situations like,  I’m (or he/she) not able to see

  • Any Data (Say any Particular Matter)
  • Or, any menu item on the left (Say, Invoices, Timesheet, etc.)

All these things are related to your (or the concern person’s access rights).

  • What level of access he/she’s got on the data
  • What are the modules (Matter/Timesheet/Invoices etc.) he/she’s going access and at what level (Read/Write/Update/Delete/Approve)

Apart from the module level access, the system has admin settings where admin can define access type while creating the users into the system.
The following table shows the different access type system has.

Access Type Description
View Self User should be able to see the data assigned to them.

E.g. If Will Smith is assigned his Access Type as ‘View Self’, he should be able to see the matters, timesheet etc. which’re assigned to him only, not anybody else’s records.

Most Preferred for Associates or Entry Level Persons who’re not having someone reporting to them.

View Self & Reportees User should be able to view their own information (matter etc. assigned to them) and their reportee’s information.

E.g. If Will Smith is assigned his Access Type as ‘View Self & Reporters’. Poula, Kim and Bell are the three lawyers (resources) reporting to Will Smith. So, in such case, Will will see his own data and the data which belong to Poula, Kim and Bell

View Business Unit User should be able to view information for the whole Business Unit.

E.g.: Suppose Legalxgen is a Law Firm having offices at three locations New York, New Jursey and Detroit. If Will Smith is assigned the Access Type as ‘View Business Unit’, then he’ll see data for the Business Unit (i.e. location NY, NJ or Detroit) whichever is mapped for him.

View All User should be able to see all the data without any restriction

Please have a look at the following video, it explains everything about access rights.
